Terms and Conditions
- Under the BusRoute platform, all reservations for Coach Hires London adhere to these Terms & Conditions. Confirmation, whether verbal or written, along with the required deposit from the client, if applicable, makes the booking final and binding. The deposit becomes non-refundable at this stage.
- In these conditions, “Coach Hires London” is equivalent to “coachhireslondon.com”
- BusRoute-operated Coach Hires London, including any agents, employees, or subsidiaries, holds no liability for losses incurred by customers or passengers due to accidents or road traffic delays. The responsibility for such events rests with the group leader, passengers, and contractor (driver). Passengers must remain seated while the vehicle is in motion.
- BusRoute does not provide, nor does anyone have the authority to provide on its behalf, any express or implied warranty or representation regarding bookings.
- BusRoute shall be permitted:
(a) We reserve the right to cancel, suspend, modify, or withdraw any booked travel, transport, accommodation, or related services if the journey cannot be fulfilled. In such cases, a full refund will be issued for any affected service. You will be promptly informed of any changes to your travel plans.
Cancellations or refunds may occur due to vehicle breakdowns, driver unavailability, or unforeseen circumstances. While we aim to provide alternatives, we are not responsible for any additional costs from last-minute arrangements, whether made by us or you.
(b) To refuse transportation or accommodation, request an individual’s withdrawal, or make alternative arrangements without providing a reason.
- Transaction charges are determined by current prices at the time of use and may change without notice due to exchange rate or fare fluctuations.
- The Hirer is liable for any damage to the vehicle or fittings caused by their party, whether intentional or due to negligence, and must cover repair costs and related losses or downtime. Coach Hires London or the contracted company may seek reimbursement from the client for expenses such as vehicle diversions and may pursue criminal proceedings if necessary.
- As a booking agent, Coach Hires London is not liable for damage costs incurred by passengers. The Hirer is responsible for any charges, criminal damages, or compensation directly with the contractor (driver), unless a prior written agreement with Coach Hires London exists. Coach Hires London will assist all parties to resolve issues and may request photographic evidence to support claims.
- Coach Hires London will organise the journey’s route unless the Hirer specifies otherwise, which will be reflected in the quotation. If changes to the route are agreed upon with Coach Hires London or the driver, resulting in extra mileage or time, the Hirer must cover additional costs.
- All hire arrangements depend on vehicle availability of the required capacity at the request date and time. Coach Hires London is not responsible for vehicle unavailability despite having provided a quote, which does not guarantee vehicle availability. They have the right to refund and cancel the booking if unable to fulfil it.
- A non-refundable deposit of 40% of the hire charge is required upon booking to secure the reservation, unless otherwise agreed. If unable to fulfil the journey request, the deposit will be refunded.
- Once confirmed and the deposit is received, it becomes non-refundable. Cancellations over 14 days before the journey incur a 40% cancellation fee. Cancellations 7 to 14 days prior incur a 50% fee.
- Cancellations 48 hours to 7 days before the journey incur a 75% fee.
- Cancellations less than 48 hours before the journey incur the full cost. Once seated in a vehicle, drivers will transport clients to their destination and back, fulfilling contractual obligations with no refunds for such bookings.
- If a cancelled booking includes additional services like meals, accommodation, or ferry charges, and providers impose cancellation fees, these charges will be passed on to the hirer alongside the standard cancellation fee.
(PLEASE BE ADVISED: WE CANNOT OFFER SPECIAL RATES OR CONCESSIONS FOR CANCELLATIONS DUE TO CORONAVIRUS, OTHER ILLNESSES, OR GLOBAL PANDEMICS. PLEASE BOOK YOUR TRANSFERS ONLY IF YOU ARE CERTAIN OF YOUR TRAVEL PLANS. WE WILL ONLY ACCEPT BOOKINGS WE CAN FULFILL.
CHARGES FOR TRANSFER REARRANGEMENTS ARE AS FOLLOWS: A 15% FEE IF INFORMED OVER 14 DAYS PRIOR, 30% BETWEEN 7 TO 14 DAYS, AND 40% FOR LESS THAN 7 DAYS. WITHIN 48 HOURS, NO REFUND WILL BE PROVIDED, AND THE TRANSFER MUST BE REBOOKED.
THOUGH THE PANDEMIC HAS EASED, WE STILL ADVISE ALL CLIENTS TO ADHERE TO CURRENT LEGISLATION REGARDING SOCIAL DISTANCING AND MASK-WEARING. WE ARE NOT LIABLE FOR ANY FINES INCURRED DURING TRAVEL.)
VEHICLE REQUIREMENT
All vehicles do not require, therefore, safety screens between driver and passengers.
PASSENGER ADVICE
We encourage our passengers to adhere to the following COVID-19 precautions while traveling with us, following the latest UK Government guidelines for the transport sector.
Please avoid travel if you are feeling unwell or displaying any symptoms of coronavirus (COVID-19). Although not mandatory, we advise wearing a face covering. Our drivers are instructed to sanitise common touchpoints in their vehicles between journeys. For extra peace of mind, you may use your own disinfectant wipes, provided you have the driverโs consent.
Use tissues to cover coughs and sneezes, disposing of them safely after exiting the vehicle. Maintain social distancing by avoiding handshakes with the driver and by not sitting next to them. Be sure to use hand sanitiser when necessary and try to avoid touching your face.
DRIVER ADVICE
To comply with the latest UK Government COVID-19 guidelines for the transport sector, we recommend that our drivers adopt the following precautions during journeys. While not mandatory, wearing a suitable face mask or covering is advisable, as long as it does not impede your ability to drive safely. For better ventilation, keep the car windows open whenever feasible.
Routinely clean your vehicle using gloves and standard cleaning products, with special attention to frequently-touched surfaces like door handles. Before handling passenger luggage, seek permission and ensure your hands are clean, or use disposable gloves if necessary. Use tissues to cover coughs and sneezes, and dispose of them properly once you exit the vehicle. Maintain physical distance from passengers and refrain from handshakes. Regularly wash your hands with soap or use hand sanitiser, and try to avoid touching your face.
16. As a Broker and/or Agent, we may collaborate with other operators and share journey details when necessary. Coach Hires London reserves the right to subcontract vehicles from other providers. Every driver affiliated with Coach Hires London is fully insured, experienced, and holds a Full Operator License. Our vehicles cannot be sub-let, loaned, or licensed by a hirer without the company’s written consent. We retain the right to supply larger or smaller vehicles than originally requested to accommodate our passengers. In the event of a breakdown, we are authorised to employ alternative vehicles, including taxis. By making a booking, you acknowledge and accept this policy, and we shall not be held liable for any claims made against us or our suppliers in relation to it.
- During the hire period, a driver (contractor) bears full responsibility for their vehicle, and their decisions are conclusive. They possess the authority to refuse entry to anyone deemed disruptive or unsuitable and may request such individuals to leave the vehicle before continuing the journey. Should the driver feel unsafe at any point, they have the right to terminate the journey without providing refunds to the client. In these situations, Coach Hires London is not liable for any resulting consequences.
17. If a flight is missed, it is crucial for the passenger or the person who booked the service to promptly notify Coach Hires London. This enables us to inform the driver to avoid unnecessary entry into the airport for pickup. For prepaid journeys, the fare will be refunded after deducting administrative fees. If the passenger chooses a later flight, we can provide the service at a slightly increased cost. Failure to inform Coach Hires London will result in the passenger or booker being responsible for the full fare. If prepaid, the fare will not be refunded, leading to a “No Show” status.
โNo Showโ Policy: If a passenger books a private hire car with us and fails to meet the driver at the scheduled pick-up timeโwhether at an airport, seaport, home, hotel, or any private locationโit will be considered a “no show.” This also applies to bookings with incorrect dates and times.
If you wish to modify the timing of your transfers post-booking, be aware that additional charges may apply. Such changes can disrupt our scheduled operations, requiring last-minute arrangements for vehicles and drivers, resulting in extra costs. A fair portion of these expenses will be passed on to the client requesting the change.
Please be ready for pickup at the designated time, as delays exceeding 15 minutes may incur additional fees. Sticking to the scheduled itinerary is crucial, as our drivers work under strict time constraints. If your delay affects subsequent jobs and alternative arrangements cannot be made, the driver may leave, and no refund will be issued.
Ensure the vehicle is kept clean, and passengers behave appropriately. Any damages will result in charges, and if the driver feels unsafe, they have the right to terminate the journey, requiring you to arrange alternative transportation without a refund.
If the specified vehicle is unavailable, we reserve the right to provide a larger or smaller vehicle to accommodate all passengers. Additionally, we may offer a different branded vehicle if necessary, at no extra cost. Furthermore, unless a trailer is booked and prepaid separately at an additional cost of at least ยฃ40 each way, we reserve the right not to provide it on the transfer date if circumstances require. We will typically inform you if this occurs. While we strive to send your preferred vehicle, this is not always possible due to potential traffic delays or mechanical issues. Therefore, we cannot guarantee a specific vehicle type, nor do we market our service as such, as our primary goal is to ensure continuous service. Driver details are usually provided 1-2 days before the journey. If you do not receive this information, please contact us to request it.
18. Animals are not allowed in the company’s vehicles, except for guide dogs.
19. Carrying or consuming alcoholic beverages in the Company’s vehicles is prohibited unless explicitly permitted otherwise.
20. Smoking is allowed in the company’s vehicles.
21. The consumption of fast food, including chips, pizzas, and burgers, is prohibited in the Company’s vehicles.
22. Drivers have the right to prohibit passengers from bringing luggage or items considered unsuitable for the Company’s vehicles. Heavy items such as suitcases should be stored in the rear and side luggage compartments, ensuring that no items obstruct the gangway or emergency exits.
23. A different coach may return a group from their destination than the one that initially brought them. During the wait at a destination, coaches might be assigned other tasks unless the Hirer requests in advance for the coach to stay with the group, which could result in an additional fee.
24. The Hirer is responsible for covering expenses related to road and bridge tolls, ferry fees, and parking charges.
25. One of the primary conditions of the Hire Contract is that full payment must be completed before departure unless an alternative arrangement has been agreed upon.
26. If a duplicate payment or erroneous transaction occurs via card or bank transfer, a standard administrative fee of 22.5% of the total payment will be charged if a refund is required.
27. Notices: Displaying any bill, poster, or notice on a vehicle is prohibited without prior consent from Coach Hires London.

CONDITIONS OF Coach Hires London (the small print) PLEASE READ
- The use of company-provided child seats is up to the accompanying adult, who must ensure they are suitable. The company is not responsible for their use.
- Customer changes to specifications on the reverse side may incur additional charges.
- The company and contractor are not liable for unforeseen delays like vehicle breakdowns, traffic, or prior task hold-ups. These may be covered by travel insurance; consult your travel agent for details.
We are not responsible for any damages or compensation due to late arrivals, alternative transport arrangements, or missed tours and events.
- The Company is not responsible for lost, stolen, or damaged goods in the vehicle.
- Your driver can assist with luggage if needed, but ensuring it is safely loaded and unloaded is your responsibility. We are not liable for luggage safety or items left behind.
- While the driver will strive for safe pick-up and drop-off points, the company is not responsible for any injuries during boarding or exiting the vehicle.
- Please use seat belts when available. Failure to do so may void claims for injuries in a road traffic accident.
- The driver has full control over the vehicle and can take necessary actions if they perceive a safety risk to passengers or the vehicle.
- If any details on the reverse are incorrect, notify us immediately to avoid delays or the wrong vehicle dispatch. We are not responsible if this request is not followed.
- If we approve a request for a later airport pickup, it is at your own risk. We are not responsible for late arrivals at the airport.
- Payments are accepted via credit/debit cards, bank transfers, and cheques. An advance deposit is needed to secure your booking. You can pay the full amount upfront or make a deposit and pay the remaining balance in cash to the driver on the booking day.
- You agree to all our terms and conditions by submitting a deposit or full payment.
